You are deciding whether to put your name on a free AI activation form. The question is not whether free is worth trying. It is what happens after you submit it, what the vendor gets, what you get, and whether the thing that arrives is shaped like your organisation or like somebody else's.
This page answers that for UD Cloud AI Staff. Every fact below was verified against the live product pages on 5 August 2026. Where the product is a poor fit for a particular buyer, that is stated rather than softened.
What is UD Cloud AI Staff?
UD Cloud AI Staff is a deployed set of pre-configured AI workers that handle defined business functions such as customer enquiry response, internal knowledge lookup and operational reporting. It is provisioned on UD infrastructure with data held in Hong Kong, and configured with UD staff assistance rather than left as a self-serve tool.
The distinction that matters for a buying decision: this is not a chatbot you embed and configure yourself. It is an assisted deployment. Someone from UD is involved in setting it up, which is why the timeline is measured in working days rather than minutes.
How much does activation cost, and is a credit card required?
Activation costs HK$0. There is no technical setup fee and no card is requested at registration. The form collects four fields only: your name, company name, company email and contact phone number. UD states that this information is used for account setup and not for other purposes.
Here are the activation facts in one place.
--- Activation fee: HK$0
--- Technical setup fee: HK$0, stated explicitly as waived
--- Credit card at registration: not requested
--- Information required: name, company, company email, contact phone
--- Registration flow: two steps, completed in minutes
--- Time to live: as fast as three working days
--- Configuration support: UD personnel assist throughout, not self-serve
--- Data location: Hong Kong, local deployment
One thing this page cannot tell you: what the service costs after the free activation period, because published pricing for ongoing use is not shown on the campaign page. Ask that question in your first call rather than after deployment. Any vendor should answer it directly, and if the answer is vague, treat that as information.
How long does it take to go live?
UD states the AI staff can be live in as fast as three working days from registration. That figure covers account provisioning and initial configuration with UD assistance. It does not cover the work on your side: deciding which process to automate first, gathering the documents the AI will draw on, and agreeing who reviews its output.
Three working days is genuinely fast for an assisted deployment. For comparison, Hong Kong integrators commonly describe a one-week cycle for a comparable scope, with the first days spent on knowledge base setup and configuration before go-live with human oversight.
The realistic planning assumption for a 200 to 500 person organisation is three working days to a working account, then two to four weeks to a workflow your team actually trusts. Budget for the second number.
Where is your data stored, and does this satisfy PDPO?
UD states that data is stored in Hong Kong under local deployment, that customer data is not transmitted externally, and that the service operates under a government-recognised cloud service provider arrangement. For a Hong Kong organisation processing personal data, local residency removes the cross-border transfer question from the assessment.
Local residency is necessary but it is not the whole compliance answer. The PCPD expects organisations to be able to explain what personal data an AI system processes and on what basis. That obligation stays with you regardless of where the servers sit.
Two questions to raise during configuration: what is logged and for how long, and who at the vendor can access prompt and response content during support. Get both answered in writing before the first production workload.
Which AI staff roles are available?
UD publishes eight named AI staff roles through its AI Employee Hub, each mapped to a business function with UD's own stated estimate of the monthly human cost it substitutes for. The roles cover social media, sales support, customer service, SEO and content, administration, data analysis, e-commerce operations and information security.
UD's published role list and its stated human-cost equivalents.
--- Social media manager: approximately HK$18,000 per month equivalent
--- Sales assistant: approximately HK$20,000 per month equivalent
--- Customer service specialist: approximately HK$16,000 per month equivalent
--- SEO and content officer: approximately HK$22,000 per month equivalent
--- Administrative assistant: approximately HK$15,000 per month equivalent
--- Data analyst: approximately HK$25,000 per month equivalent
--- E-commerce operations manager: approximately HK$20,000 per month equivalent
--- Information security consultant: approximately HK$35,000 per month equivalent
Read those figures for what they are. They are UD's estimate of the market salary for the human role, not a measured productivity equivalence. An AI customer service worker handling routine enquiry volume is not the same as a HK$16,000 employee, and treating the number as a headcount saving in a board paper will not survive scrutiny. Treat it as an indication of which functions carry enough repetitive volume to be worth automating first.
What this will not do
Four honest limitations. None of them disqualify the product, but each will disqualify it for some buyers, and it is cheaper to find out now.
It is positioned for SMEs, not for large enterprises. The campaign material addresses Hong Kong SME problems: after-hours enquiries going unanswered, staff repeating the same questions, documents scattered across systems. A 500-person financial services group with an existing service desk, SSO requirements and a formal change process will find the packaging loose. The underlying capability may still fit; the framing will not.
Ongoing pricing is not published. HK$0 covers activation. What the service costs in month four is a conversation, not a published number. If your procurement process requires a price before a pilot, you will need that conversation first.
The published interface and material are Hong Kong Chinese. If your evaluation committee or your board papers are English-only, budget for translation, or ask UD directly what English-language support looks like before committing.
It does not replace governance. Deploying AI workers creates new questions about who reviews output, what happens when the AI is wrong, and how decisions get recorded. The deployment does not answer those. See our guide to agent observability for what a defensible record looks like.
Who should activate now, and who should wait?
Activate now if you have a specific, high-volume, low-judgement process that is currently absorbing staff time, and you can name it in one sentence. Wait if you are still surveying the market, if your data is not organised, or if you need a fixed annual price before any pilot begins.
Activate now if: you run customer enquiries outside office hours and lose them; your team answers the same internal question repeatedly; you need Hong Kong data residency and most vendors cannot offer it; you want a working system before your next quarterly review rather than a vendor shortlist.
Wait if: your requirement is a governed multi-model platform rather than packaged AI workers, in which case start with an AI gateway decision instead; your knowledge base is scattered across personal drives and nobody owns it; your procurement rules prohibit starting anything without a signed price schedule.
If you are earlier than this and still deciding which function to automate at all, the free AI Ready Check answers a different and earlier question, and costs nothing either.
The correct next step
The decision in front of you is small and reversible. HK$0, four form fields, no card, and a configured account within about three working days. The commitment that actually matters is not the form. It is the two to four weeks of your team's attention afterwards, which is what turns an activated account into a process that runs without supervision.
Go in with one named process, one owner, and one question about ongoing price. That is a serious pilot. Anything less is a login you will forget.
We understand the cold edges of AI and the hard parts of your work, and UD has walked with Hong Kong enterprises for twenty-eight years, making technology a partnership with warmth.
